Seating Arrangements

The Seating page lets you assign confirmed guests to tables, manage capacity, and export a seating chart for your event staff.

Stats bar

At the top you'll see three quick stats:

  • Confirmed guests — Total guests who responded Yes, including plus-ones
  • Tables — How many tables you've created
  • Seats assigned — How many guests have been placed at a table

Adding tables

Click Add table to create a new table. Give it a name (e.g. "Head Table", "Table 1") and set its capacity. You can edit or delete tables at any time by clicking the pencil icon on the table card.

Table capacity determines how many guests can be assigned to it. The card border turns red when a table is full.

Assigning guests

Unassigned guests appear in the panel on the left. Drag a guest chip and drop it onto any table with available seats. The table card updates immediately.

To remove a guest from a table, click the × on their chip — they return to the unassigned pool.

Table card colors

The left border of each table card indicates capacity:

  • Green — Seats available
  • Yellow — Nearly full (75% or more)
  • Red — Table is full

Allergy indicators

If you collect dietary preferences, guest chips show badges:

  • ⚠ Allergy — Guest has a food allergy. The table header also shows a warning icon if any guest at that table has allergies.
  • 🌿 Dietary — Guest has a dietary preference
Hover over any badge to see the specific allergy or dietary details.

Auto-assign

Click Auto-assign to let Formtabulous automatically fill all unassigned guests into available seats. You can still drag guests around afterward to make adjustments.

Printing the seating chart

Click Download chart to export a PDF seating chart. The PDF shows every table with guest names and clearly marked allergy and dietary badges — ready to hand to your catering team.
