Board roster: offices, terms, committees and alerts
The board roster shows who serves on your board, in which office, and when each term ends. You manage the board itself on the Meetings settings page; the roster is the read-only view, with committees and term alerts on top.
1. Set up the board
Open HOA → Meetings → Settings, create your board list and add members from your contacts. Give each member an office (President, Vice President, Secretary, Treasurer, Director or your own title). Manage board on the roster takes you there.
2. Terms
- The board has a term (for example Jan 2026 to Dec 2026). Members follow it by default.
- If seats are staggered, give a member their own Term ends date. The roster shows it as "Term to Dec 2027".
- Each year, use Start new board year. Members and offices carry over; dates in the future are kept.
3. Term alerts
- When a term has ended or ends within 90 days, a banner appears on the roster and a row appears in At a glance. Everyone who can sign in to the account sees it.
- Emails go out 90, 30 and 7 days before a term ends, and on the day it ends. The member gets a note about their own term; the account owner gets a summary with a button to start an election.
- Turn the emails off on Meetings → Settings → Meeting notices (Email about board terms ending).
4. Committees (optional)
You don't need committees. If you want one, choose Add a committee under the roster, give it a name and an optional purpose, then add members from your contacts. Each member can be the Chair, Secretary or a regular member, and a committee has one chair at a time. Archive a committee when it is finished; you can restore it later.
5. When someone leaves an office
Removing an officer, or changing someone's office, opens a handover checklist: move their access, collect records and keys, change shared passwords, update bank signers and the contacts on insurance and state filings, and tell owners and vendors. Nothing is saved; print it if you want a copy.
Good to know
- Committee members and board members come from your contacts. Removing someone from the board or a committee does not delete the contact.
- Past boards are listed at the bottom of the roster.
