Community Inbox

Set up a Community Inbox address

A Community Inbox address is one email address your members write to. You can set one up in a few minutes. The Starter and Pro plans include one active address. The Team plan includes up to five, for example separate board, management and architectural committee addresses. Paused addresses count too; deactivated ones don’t.

1. Choose the address

  • yourname@formtabulo.us: no setup needed. Addresses start with your public page name (Settings → Public page): yourname@, or add an ending such as yourname-board@. Set that name first if it’s empty.
  • Your own domain, such as team@yourclub.org: connect the domain first (see Connect your own domain), then choose any name, such as team, office or board.

If the address already forwards somewhere on the Forwarder page, it becomes the Community Inbox and forwards to your team instead. An address can’t be renamed later. To use another one, set up a new address.

2. Name members see and sign-off

The name is shown as the sender of every reply. Use the organization’s name, not a person’s. The sign-off, for example “The Riverside Club team”, is added to replies written in Formtabulous. Replies sent from someone’s own mailbox keep their own signature instead.

3. Team

List one email address per line. Everyone listed gets every member message, and can reply as the organization from that same address. Team members don’t need a Formtabulous login. When board members or volunteers change, update this list. The history stays.

4. Try it

Choose Send me a test. You get a sample exactly as a member would see a reply. Reply to it to try the whole loop. You can also send an email to the address from a personal account, the way a member would.

5. Tell your members

Announce it creates a draft GroupPost introducing the address. Review it and send it when you’re ready. Nothing goes out before that.

6. Pause or deactivate

Pause stops saving messages for a while: mail still reaches the team as a plain forward, and team replies go out from their personal addresses. A paused address still counts toward your plan. Turn back on resumes.

Deactivate stops an address for good and frees its place in your plan. Mail sent to it is no longer delivered. If it has conversations, it stays in the list as Inactive, so you can still read them but not reply. If it has none, it’s removed. You can reactivate an inactive address when your plan has room.

7. Changing plans

If you move to a plan with fewer addresses, the setup page asks you to choose which addresses stay active. The others are deactivated as described above. If no one chooses within 7 days, the most recently used addresses are kept. The Free plan doesn’t include Community Inbox, but your conversations are kept.
