Sending Messages

Sending Your Message

The Send page is the final step before your message reaches your audience. It lets you choose who receives it, when it goes out, and whether it repeats on a schedule.

Recipients

The Recipients section shows the contact lists selected for this send as blue chips. Each chip shows the list name and contact count. You can:

  • Click × on any chip to remove that list from the send
  • Click the + button to add more lists from your account
  • Click the pencil icon to manage your contact lists

You must have at least one list selected before you can send. The total recipient count is the combined unique contacts across all selected lists — duplicates are automatically deduplicated.

Unsubscribed contacts are automatically excluded from every send, regardless of which lists they appear in.

When to send

Use the segmented toggle to choose between two modes:

  • Send immediately — Your message goes out right now. Click Send Now to confirm. Sending begins within seconds.
  • Schedule for later — Choose a date and time for the send to go out automatically.

Scheduling a one-time send

When you select Schedule for later, two fields appear:

  • Date — Click the field to open a calendar and pick your send date.
  • Time — Select the hour from the dropdown. Times are in your local timezone and automatically converted when stored.

Click Schedule to confirm. The message status changes to Scheduled and the send will go out automatically at the chosen time — no action needed on your part.

If no time is selected, the send defaults to 6:00 AM in your local timezone.

Recurring schedule (GroupPost only)

When Schedule for later is selected, a Repeat toggle appears. Enable it to set up a recurring send schedule. Three frequency options are available:

  • Weekly — Sends once per week on the day(s) you select
  • Bi-weekly — Sends every two weeks on the selected day(s)
  • Monthly — Sends once per month starting from the start date

Day selection

For weekly and bi-weekly schedules, select which day(s) of the week the message should go out. If no day is selected, the system uses the day of the week from your start date.

Start date

The Starts on date determines when the first send happens and anchors the recurring interval. For example, a bi-weekly schedule starting on a Friday will always send on alternating Fridays from that date forward.

End condition

By default, a recurring schedule runs indefinitely. Enable Ends to set a stop condition:

  • On a date — The schedule stops after the last send before or on that date
  • After N occurrences — The schedule stops after a set number of sends (maximum 100)

Next send preview

The Next send column shows the upcoming send dates based on your current frequency and day selection. This updates as you change settings so you can confirm the schedule looks correct before saving.

Send limits

Before every send, Formtabulous checks your monthly quota. If your account is near or at its limit:

  • A warning appears if you are within 50 sends of your limit — the send still goes through
  • A hard block appears if you would exceed your limit by more than 50 — reduce your list size or upgrade your plan

For plan limits by tier, see the Usage & Limits article.
