Use the Community Inbox
The Community Inbox keeps every message members send to your shared address, for example team@yourclub.org, as a conversation. Your team still gets each message by email, and the history stays with the organization when volunteers change.
1. The list
Open Community Inbox. Conversations with the newest activity are at the top. Each row shows who wrote, the subject, how many messages there are and when the last one arrived.
- A filled envelope and a bold name mean no one on the team has opened the newest message yet.
- An open blue envelope means someone has read it, but no one has replied yet.
- A grey envelope means it’s handled.
Opening a conversation marks it read for the whole team, so everyone can see it has been looked at.
2. Filters
- Waiting for a reply (the default): a member wrote and no one has answered yet. The red number in the menu counts these.
- Open: everything still in progress, answered or not.
- Not in contacts: the sender’s email isn’t in your contacts yet. Open the conversation to add or match them.
- Closed: handled conversations. When the member writes again, it reopens on its own.
- All: everything.
If you have more than one address, a menu lets you show one address at a time. When you come from a record, for example a unit, the list shows only conversations about it. Click the × on the blue label to see all of them again.
3. Where messages come from
A conversation starts when someone emails your shared address. When the same member replies to your answer, the reply joins the same conversation. A brand-new email, not a reply, starts a new conversation.
