Reviewing and Deciding on a Request

The request detail page shows everything the homeowner submitted, organized into sections — applicant and property, project details, contractor information, and any attached documents or photos.

Making a decision

  • Approve — the request is accepted as submitted.
  • Approve with Conditions — accepted, but only if specific conditions are met (for example, a fence must be stained rather than painted). You must enter at least one condition to use this option.
  • Deny — the request is rejected. You must select at least one reason category (governing-document violation, material, color, dimensions, height, setback, design, landscaping, safety, incomplete application, missing documentation, or other) and provide an explanation.

Type-to-confirm

Every decision — including a plain Approve — requires you to type a confirmation word (APPROVE or DENY) before it can be submitted. This is deliberate: a decision here immediately emails the homeowner and cannot be casually undone, so the extra step protects against an accidental click.

Internal notes

The Internal Notes field on the decision is board-only and is never sent to the homeowner or shown on their portal — use it for anything you want on record for your own future reference.

Decision letters

Once a decision is recorded, a decision letter becomes available as a downloadable PDF, and the request is locked — the homeowner can no longer edit or withdraw it, since it is now part of the board's official decision record.

Resetting a decision

If a decision was made in error, use Reset to Pending to reopen the request for reconsideration.
