HOA Meetings & Minutes

Meetings settings: your association and board

Settings hold what Meetings & Minutes needs to know about your association and your board. Open them from the Settings button on the Meetings page. You set most of this once; come back after an election or when your bylaws change.

Your association

  • State and association type (HOA / planned community or condominium). Most states have separate laws for each, so check your declaration: if it says "condominium", choose Condo.
  • Once both are set, we show what your state's law says about board and owner meeting notice and quorum, with the citation. The compliance calendar uses the same choice for state deadlines.
  • Your bylaws (optional): if your bylaws require more notice or a different quorum, enter it. We always use whichever is stricter. Bylaws can never require less notice than state law.

Your board

  • Your board is a regular contact list, so you also see it in Contacts. Members are added, not moved: they stay on your owner lists.
  • Add member: search your contacts, or add a new person with a name and email.
  • Use the menu on a member to set their role (President, Secretary, Treasurer… or your own), or to remove them. Name and email are edited in Contacts.
  • The button sets the board's term and seats. Quorum counts seats, so vacant seats still count. The term end also places the next election on your compliance calendar.
  • Start new board year after an election: we copy everyone and their offices into a new list for the new term. Then add or remove people. The old list stays unchanged as a record of who served; see it under Past boards.

Meeting notices

  • Choose when everyone on the board list gets a reminder email before each scheduled meeting, with the time, place, agenda and an add-to-calendar link. You get a copy too, with a heads-up if notice to owners hasn't gone out yet.
  • Reminders go out from 7 AM your time. Turn them all off if you remind the board another way.

Good to know

  • Until your association and board are set up, the Meetings page asks you to finish setup before you can schedule a meeting.
  • If the board list is deleted in Contacts, Meetings tells you and you create a new one here.
