Setting Your Reply Address
Where Do Replies Go?
When a member hits Reply on one of your messages, that reply has to go somewhere. By default it goes nowhere useful — your messages are sent from a no-reply address, and anything sent back to it is discarded.
Setting a reply address fixes that. Replies land in a real inbox that you or your board actually read.
Turning Replies On
- Go to Settings › Identity
- Switch on Allow recipients to reply to messages
- Enter the address where replies should arrive
- Click Update
We then email that address a confirmation link. Replies do not start arriving until someone opens it.
Why Confirmation Is Required
A reply address is not checked by anything in the email system itself — it is simply a header on the message. Without confirmation, an account could point every member reply at an inbox it does not own.
Asking the address to confirm itself is the only reliable proof. It also catches typos before they cost you a month of lost replies.
Status Indicators
The badge beside the address tells you where things stand:
- Confirmed — replies are being delivered to this address
- Awaiting confirmation — the email was sent; the link has not been opened yet
- Link expired — the link sat unopened for more than 48 hours
- Not confirmed — an address is saved but no confirmation is pending
Whenever the address is not confirmed, no reply address is attached to your messages at all. Members replying will find their reply goes nowhere rather than somewhere wrong.
Resending the Confirmation
If the link expires or the email never arrives, use the button beside the address field to send a new one. Each new link replaces the old one and is valid for 48 hours.
Changing the Address
Enter the new address and save. Confirmation resets automatically and a fresh link goes to the new address — the previous confirmation does not carry over, because a different inbox has proven nothing.
This matters when board roles rotate. The outgoing secretary's confirmation does not silently keep routing member replies to them after they hand over.
What to Expect in That Inbox
Replies to a message sent to a large list can arrive in volume. Alongside genuine replies you will also see:
- Out-of-office auto-replies from members who are away
- Bounce notices from addresses that no longer work
- Unsubscribe requests sent as replies rather than through the link
Reply Address and Sending Domain
These are two separate settings that are easy to confuse:
- Sending domain controls what members see in the From line
- Reply address controls where their replies land
