Payment Disputes and Restricted Units

Occasionally a homeowner may dispute a card or bank charge with their bank rather than contacting your board directly — this is sometimes called a chargeback. Formtabulous watches for this automatically and protects your HOA from repeated abuse without shutting off payments for everyone.

Per-unit protection

If the same unit disputes payments repeatedly — three times within a year, by default — that unit is automatically restricted to offline payment only. Online card and bank payments are turned off for that unit, and you'll need to use Record Payment to log anything they pay going forward. This threshold is a Formtabulous default, not an industry rule, and can be adjusted for your HOA if needed.

A restriction lifts on its own after three consecutive months with no new disputes from that unit — no action needed from you.

Account-wide monitoring

Your dashboard also tracks your HOA's overall dispute rate. If it climbs into a range that payment processors consider elevated, you'll see a warning in Needs Your Attention. This is informational only — Formtabulous never automatically pauses your ability to collect dues based on this. It's there so you can look into what's happening before it becomes a bigger problem.

Tip: A dispute that gets resolved in your favor doesn't count against a unit's restriction — only unresolved or lost disputes do.
