Compliance calendar: never miss an HOA deadline
The compliance calendar keeps the dates your board can't afford to miss in one list: the annual meeting, the budget, financial reports, the reserve study, tax and state filings, insurance and the next board election. Each deadline is also a note in your Planner, so it shows on your calendar and you get a reminder email before it comes due.
1. Set it up once
Open HOA → More → Compliance calendar and answer a few questions. Leave anything you don't know blank and add it later.
- Fiscal year start: places the budget, financial report and tax return.
- Annual meeting month: places the annual owners' meeting.
- Insurance renewal and last reserve study: place those reviews. If you saved a reserve study in Formtabulous, we use its date.
- Incorporated? Most HOAs are nonprofit corporations, which file a report with the state. Tell us the month you incorporated so we can place it.
- Last structural or balcony inspection: only shown where your state requires periodic inspections (for example, California condos).
- Board term: comes from your board settings in Meetings & Minutes and places the next election.
Your state and association type (HOA or condo) come from Meetings & Minutes settings. Saving again later updates the dates; it never creates duplicates.
2. Where the dates come from
Each deadline shows a badge for its source, and the explains the rule:
- State: from your state's HOA or condo law, with the citation. For example, in California the annual budget report must reach owners 30 to 90 days before the fiscal year ends.
- Federal: the association's tax return (Form 1120-H or 1120).
- Your settings: dates you gave us, such as the insurance renewal.
We add state deadlines only where we have confirmed the rule from the official statute. Where your state isn't covered yet, we use sensible defaults (for example, a reserve study about every 3 years). Check your bylaws, which can be stricter.
3. Working with deadlines
- Mark done: for repeating deadlines, the next one is added automatically and we tell you its date.
- Doesn't apply: hides a deadline that isn't relevant to you (for example, the financial review if your income is under your state's threshold).
- Edit: change the date, the reminder (1, 3, 7 or 14 days before, or none) and whether the board is reminded too.
- Add deadline: add your own, once or every N years (for example, a pool permit).
- Many deadlines link to the tool that does the work: schedule the annual meeting, start an election, email the budget to owners or open the reserve study.
4. On your HOA Overview
- At a glance flags overdue deadlines first, then those due within 14 days.
- Bank balances: if you don't collect dues through Formtabulous, the Overview has a card for your operating and reserve balances. Copy them from your latest bank statements; we remind you when they are more than 90 days old.
Good to know
- This calendar helps you stay organized; it isn't legal advice. Your governing documents and an attorney have the final word.
- Deadlines are Planner notes, so you can also see them under Planner, alongside your other events.
