Community Inbox

What members see in the portal and app

Members who sign in to your Member Portal or Companion App can see their own conversations with your Community Inbox address and reply there. Email still works exactly as before; this is just a second place to read the same conversation.

What members see

  • Only their own conversations: the ones matched to their contact. Messages in the Unmatched tray stay hidden until you match them to a member.
  • Their own messages and your team's replies. Replies show the name members see from setup (for example "Riverside Club"), never a team member's name or email address. A personal email signature in a reply is still part of the text, as in the email.
  • Attachments on those messages.
  • HOAs: when a conversation is linked to the owner's violation, they get a View violation button that opens it in the portal. Other links (units, ARC, work orders) stay hidden.

When a member replies there

The reply is saved on the conversation, which goes back to Waiting, and every team member gets it by email, as if the member had emailed. Just reply to that email as usual. Members can send up to 10 messages an hour this way.

When the team replies, members who use the Companion App also get a notification.

Where to find it

  • Member Portal: a Conversations link appears once the member has a conversation.
  • Companion App: the Inbox gets an Announcements | Conversations switch.

Turning it off

In Community Inbox → Set up, edit the address and turn off Show conversations in the Member Portal and Companion App. Members then stop seeing conversations with that address. Email isn't affected. If you archive an address, members can still read its conversations but can't reply there.
