Guest Check-in

The Check-in page lets you track guest arrivals in real time at your event. Enable it first under More options when creating or editing your event.

Stats bar

Four cards at the top update live as guests arrive:

  • Total invited — Everyone who received an invitation
  • Checked in — Guests who have arrived and been marked
  • Not arrived — Invited guests not yet checked in
  • Arrival rate — Percentage of invited guests who have arrived

Searching for a guest

Type a name or email in the search box to find a guest. Results show their RSVP status and whether they have already checked in. Click Check in to mark them as arrived.

If a guest declined but shows up anyway, checking them in automatically updates their response to Yes.

Undoing a check-in

Made a mistake? Click Undo on any checked-in guest to reverse it.

Staff check-in link

The staff link on the right lets volunteers or door staff check guests in from their own phone — no Formtabulous account needed. Copy and share the link before your event.

The staff link works on any device with a browser. Bookmark it on a tablet for easy access at the door.

Lost invitation QR

Print or display this QR code at your venue entrance. Guests who lost their invitation email can scan it, enter their email address, and get their invitation resent instantly — no staff intervention needed.

Click Download QR to save the image for printing.
