An HOA Compliance Calendar That Remembers for the Board

The annual meeting, the budget, the tax return, the state report, the reserve study, the insurance renewal. Every deadline your association has, on one calendar, with an email reminder before each one and the state rule next to it where we have it.

Included on every plan, including free.

Most missed deadlines were never on anyone's calendar

Volunteer boards turn over, and the list of what the association must do each year usually lives in the head of whoever served longest. The treasurer knows the tax return is due; nobody is sure when the budget has to reach owners, whether the state wants an annual report, or when the reserve study was last updated.

Missing one is rarely dramatic at first. A late annual report can cost a filing fee or put the corporation's standing at risk, a budget sent late can be challenged by owners, and an insurance policy that lapses leaves the board exposed. The fix is the same for all of them: put the deadline somewhere the whole board will see it, early.

The Formtabulous compliance calendar asks a few questions about your association and sets up the yearly list for you.

What usually slips

  • The state annual reportDue once a year; the reminder went to a former officer's email.
  • The budget noticeOwners are owed it before the fiscal year starts, not after.
  • The reserve study updateEvery few years, so nobody remembers the last one.
  • The insurance renewalOne date, one phone call, easy to lose in a handover.

The yearly HOA deadline list

What the calendar can track. It sets up the ones that apply to your association and skips the rest.

Annual owners' meeting

Scheduled for the month you usually hold it, with a link to start the meeting notice in Meetings & Minutes.

Adopt next year's budget

A reminder for the board meeting where the budget is approved.

Send the budget to owners

Counted back from the start of your fiscal year using your state's notice period where we have it.

Annual financial report

Counted from the end of your fiscal year where your state sets a deadline.

Federal tax return

Calculated from your fiscal year end (Form 1120-H or 1120). Confirm with your CPA.

State annual report

For incorporated associations, based on your state and when you incorporated.

Reserve study update

Repeats every set number of years after your last study. Link to the reserve study calculator.

Structural inspection

Only for states that require one, and only if you say it applies.

Insurance renewal

Enter the renewal date once; it comes back every year.

Board election

Set from the end of the current board's terms, with a link to start the election.

Your own deadlines

Pool inspection, bid due dates, contract renewals: anything the board needs to remember.

How it works

Three things the board does; the rest is automatic. Full documentation: compliance calendar.

1. Answer a few questions

Your state, your fiscal year start, whether the association is incorporated, when you hold the annual meeting and when insurance renews. About two minutes.

2. Review the list

The deadlines that apply are created with a plain-English line and, where we have a state rule, its statute citation. Change a date, skip what does not apply, or add your own.

3. Get reminded, mark it done

An email goes out ahead of each deadline (14 days by default, or 1, 3 or 7). Mark it done and next year's date is already on the calendar.

State rules, with the source

HOA law differs a lot from state to state: how far ahead owners must get the budget, whether a reserve study is required, how often a nonprofit files its annual report. Where we have confirmed a rule from the statute, the calendar uses it and shows the citation beside the deadline.

Where we have not, it says so and points you to your state's rule instead of making up a date. Your governing documents can also set stricter timing; enter that and it wins. See your state in the HOA state guides.

Connected to the rest of your HOA

  • Meetings & Minutes
Start the annual meeting or the budget meeting straight from its deadline.
  • Elections
Board terms feed the calendar, so a coming election is never a surprise.
  • Document vault
Keep the filed report, the policy and the reserve study with their dates.

What it does not do

  • It does not file anything. It reminds you; the board, the CPA or the management contact still files.
  • It does not give legal or tax advice. Confirm dates with your CPA and your state's statute.
  • It is not complete for every state. Rules we have not confirmed are marked "check your state rule", not guessed.

Plan the year around it

What each deadline involves: HOA finances, dues and reserves, the reserve study calculator, and the HOA meeting checklist for the annual meeting.

Free, like Meetings and Minutes

The compliance calendar costs nothing and has no unit limits. It is on the free plan with meetings, elections, the board roster and violation tracking. Paid plans add storage, payments and more messages. See HOA pricing →

Frequently Asked Questions

It depends on the state and the governing documents, but most boards share the same yearly list: the annual owners' meeting, adopting the budget and sending it to owners, an annual financial report, the federal tax return, a state annual report if the association is incorporated, insurance renewal, a board election when terms end, and in some states a reserve study or a structural inspection. The compliance calendar sets up the ones that apply to you.

Where we have confirmed a state rule from the statute, the calendar uses it and shows the citation next to the deadline. Where we have not, it tells you to check your state rule instead of guessing. Either way you can edit the date, change the reminder, or mark an item as not applicable.

Yes. The compliance calendar is included on every plan, including the free plan, along with Meetings and Minutes, elections, the board roster and violation tracking.

Each deadline is an item on your Formtabulous calendar. By default you get an email 14 days ahead, and you can change that to 1, 3 or 7 days. Mark the item done and next year's deadline is already waiting.

Yes. Add anything the board needs to remember, such as a pool inspection, a vendor contract renewal or the date the landscaping bid is due, with its own date, repeat and reminder.

No. The calendar tells you what is coming and when; it does not file anything or give legal or tax advice. Confirm tax and state filing dates with your CPA and your state's statute, especially if your governing documents set different timing.

Set up this year's calendar in two minutes

Answer a few questions, review the deadlines that apply, and the board has one place to see what is coming, with a reminder before each date.
